Private vs client-visible data

What stays in the app vs what appears on the portal.

Some project fields are for your workflow only. Others are published to the client portal when you save.

Private info in the app

Private info on a project typically includes:

  • Work site address (for your navigation and arrival automations)
  • Client phone and email (for your WhatsApp, Messages, and Mail shortcuts)
  • Internal notes that clients should not read

Edit these from the project detail Private info section.

Client portal access

You can turn off the client portal for a project from the portal section on project detail. When client portal access is off:

  • Anyone who opens the share link sees a message that the project is private
  • No login is required on the client side—the link simply stops showing project data
  • Turn access back on anytime; the same link works again

This is different from Private info (address, phone, email, internal notes), which hides specific fields while the portal stays active.

What clients see

The portal shows worker-published content only:

  • Status, stage, and customer-safe summaries
  • Timeline posts you create
  • Files attached to customer-facing categories
  • Next visit or milestone (when set)

Clients do not see internal notes, your private contact shortcuts, or unpublished drafts.

Phone numbers and messaging

Phone numbers must be valid international (E.164) format for WhatsApp and Messages from Update your client. The portal itself does not expose the raw number unless you put it in a customer-visible field (avoid that).
