Spreadsheets vs handyman software: when is it worth changing?

A maintained spreadsheet and clear customer messages can be enough for a small workload. Dedicated software becomes useful when it solves a recurring failure—missed handoffs, inconsistent records, or hard-to-find updates. Switching just to look professional is not a sufficient reason.

When the existing setup is doing its job

If you know what is booked, what the client agreed to, what is unpaid, and where the job records are, your current system may be adequate. There is no need to buy another subscription just because your records started in a spreadsheet.

Google Sheets supports collaboration and version history. WhatsApp Business supplies customer messaging tools. Trello organizes work through boards and cards, while Notion supports shared pages. These general tools can be part of a deliberate process rather than a temporary mistake.

Measure the cost of maintaining it

For one week, record each time you copy information, search a conversation, reconcile two versions, or repeat an update. Separate avoidable work from tasks that would still exist in a new app.

Use your own value for admin time to compare the effort with a subscription and setup cost. This is a decision exercise, not a published hourly-rate benchmark or a promise of savings. If the inconvenience is occasional, improve the process first.

  • Use a stable job identifier across your calendar, files, and invoice system.
  • Assign one place to the agreed scope and another clearly defined place to payment records.
  • Keep a simple completion routine so finished jobs are archived consistently.

Check sharing before inviting a client

A shared internal tracker can contain information the client does not need. Create a deliberate client-facing view or separate file, and inspect its permissions. Do not rely on the recipient ignoring other rows, tabs, or child pages.

Notion documents guest and public-sharing controls, and Sheets provides sharing permissions. Test the actual link as a recipient. HandySuite similarly requires deliberate publication: its unlisted project link grants viewing access to anyone who has it.

Replace only the part that is failing

If the invoice process works, keep it. If the calendar works, keep it. If customers cannot find the latest job update, trial an update page without assuming that the books, messaging, and scheduling all have to move at once.

HandySuite can be used for that narrower role by an iPhone or iPad worker. It does not replace your customer messaging channel with portal chat, and it does not collect payments. Sharing a link through WhatsApp is not the same as a live two-way integration between the products.

Set a reason to keep or reject the trial

Pick one outcome before trying software: fewer repeated progress messages, a clearer job handover, or fewer missing records. Use a representative job and ask whether it actually improved that outcome.

If the trial creates more maintenance than it removes, return to the simpler process. If it helps, document who updates each system and where the final record lives. An honest comparison leaves room for buying nothing.

Can I run a small handyman business with a spreadsheet?

A maintained spreadsheet can organize a small workload. You still need a reliable process for agreed scopes, appointments, invoices, payments, and record retention.

Do I need to stop using WhatsApp when I add a client portal?

No. You can keep customer conversations in the existing channel and share a portal link for project information. Do not assume that sharing a link creates an automatic integration.
