Handyman estimating and invoicing apps: Joist, QuickBooks, Wave and more

Choose an invoice app around the complete path from an agreed scope to a recorded payment. Document creation, payment collection, and bookkeeping are separate needs. A project portal can complement them but does not automatically replace them.

A quote, an invoice, and a receipt do different jobs

A quote states the proposed work and price. An invoice requests payment. A receipt records payment. A good trial should follow one job through all three stages, including changes, rather than stop at a professional-looking PDF.

Write your real requirements down: partial deposits, invoice numbering, line items, supporting photos, payment status, and exporting records. Then check those requirements in the exact subscription you would buy. Plan names are not proof of equivalent functionality.

The useful distinctions between these options

Joist focuses on contractor estimates and invoices, but its newer Run plan also includes job organization and visit scheduling. QuickBooks Online supports estimates becoming invoices and places them within the business’s financial workflow. Wave combines financial records with invoice tools. Invoice Simple and Square Invoices are also candidates when billing is the immediate need.

These are starting points for a trial, not a ranking. If an accountant already maintains your books, involve them before choosing a separate invoice system. An attractive billing interface can still create avoidable reconciliation work.

Read the limits behind ‘free’ and ‘unlimited’

A free subscription may still have transaction fees or conditions on sending documents, bank connections, automation, and mobile functionality. A plan with unlimited documents may still differ on branding, reports, or job management.

Wave lists a free Starter plan. Joist’s current page says its old free plan is no longer available. Do not rely on an older comparison that treats both as permanently free in the same way. Confirm the current terms in your country before committing.

Where HandySuite belongs in this comparison

HandySuite can publish documents and record verified decisions on issued quotes or changes, but accepting a quote does not take payment. It does not provide a full invoicing suite. Keep your invoicing and payment product if those are requirements.

Using a portal alongside billing can make sense when the homeowner also needs job photos, visit details, and handover information. Decide which system owns the financial record and avoid manually creating conflicting amounts in both.

Test a repair with one extra task

Create a fictional door repair estimate, add an agreed hardware replacement, request a deposit if your workflow uses one, and produce the final invoice. Record a test payment only through the vendor’s supported test method; a document preview alone is enough to compare presentation.

Inspect the export and the customer’s copy. Check how revisions, balances, and supporting files are represented. Choose based on the completed workflow, not an unsupported claim that one product gets everyone paid faster.

Not as a complete replacement. It records project information and offer responses, but it does not collect payments or provide a full invoicing suite.
