Field service software for small handyman teams: a practical shortlist

When another person joins the business, shared responsibility matters more than the number of features. Compare who receives a job, who can change it, who sees client information, and how the office knows it is complete. Price the full team and workflow.

Test the handoff between people

A solo workflow can rely on memory. A team workflow needs the next person to understand the job without a phone call. Use one realistic scenario: the office books a repair, a worker discovers extra work, and someone else must schedule a return visit.

Have each participant perform their part on the actual device they use. Look for duplicate entry, ambiguous ownership, and missing context. A broad feature checklist does not show whether the handoff works for your business.

  • Who is assigned, and who can change the appointment?
  • Which notes and customer details should each role see?
  • How is a scope change approved before the return visit?
  • What signals that the work is ready for invoicing?

Compare pricing models before comparing totals

These vendors use different structures. FieldPulse describes custom seat-based pricing; Tradify publishes per-user pricing; ServiceM8’s U.S. plans include new-job allowances. Markate combines a base subscription with employee and optional-feature charges. Workiz requests pricing for its listed tiers and separates Genius Phone.

Use the same staffing assumptions for every quote. Count office staff, owners, seasonal helpers, and the busiest month. A low base price and a larger bundled price are not comparable until you know what each includes.

A broader platform is not automatically too much

ServiceTitan publishes a custom per-technician pricing approach. QuoteIQ advertises a combination of quoting, scheduling, billing, and employee tools. Neither should be accepted or rejected solely because a competitor labels it powerful or complicated.

Ask for a demonstration of your actual work and a clear implementation scope. If a product removes several costly handoffs, more setup may be worthwhile. If nobody will maintain the data its workflow needs, a larger feature set may add little value.

Keep Jobber and Housecall Pro in the comparison

The familiar options are still valid candidates. Include them if they meet your requirements; a shortlist is a way to structure a trial, not a claim that newer or less familiar products are better.

HandySuite is not presented here as equivalent team-dispatch software. Its documented scope is publishing client project information from the worker app. Evaluate an operational platform when assigning and coordinating staff is the main need.

Ask for the implementation details in writing

Request plan inclusions, seat changes, contract term, renewal conditions, migration scope, training, export options, and support arrangements. Put any required integrations through a test using sample records.

Once a trial succeeds, move a small set of jobs and confirm responsibility for the old records before a wider rollout. Avoid promising your team that a software switch will remove administration altogether; someone still has to keep the job information accurate.

Is per-user pricing always more expensive?

No. It depends on team size, job volume, plan inclusions, and additions. Compare equivalent requirements using your actual staff and workload.

Should a small team rule out a broader platform?

Not automatically. Evaluate workflow and implementation needs. A small operation can have complex requirements, while a larger one can sometimes use a simpler process.
